REGISTRATION POLICY & COURSE CONDITIONS

Terms and conditions for Young Learners English courses

Registration is on a first-come-first-served basis. Your place on the recommended course is guaranteed only after full payment of the course fee and is subject to available places. Places are limited.

The maximum number of students in a group for courses at our centres is 16 for all Young Learner courses.

We reserve the right to change the number of students in a class in accordance with local or regional regulations and subject to special circumstances.

Some of our Upper Secondary students may be between 18 and 19 years old.

We reserve the right to change the times and days of your course in case of force majeure and the right to switch from face-to-face teaching to virtual teaching according to local regulations and restrictions imposed by local or regional circumstances.

We reserve the right to change the course offer (duration, days and times, teacher) when switching to the virtual offer, but will do everything possible to ensure that your child’s course will continue online with the same number of hours, the same teacher and at the same time.

If students miss classes, they will not receive additional classes. Students are not eligible for a refund for missed classes. However, the content of the missed lesson can be covered individually by the student using the Learning Management System resources along with teacher recommendation.

By registering to our courses, you agree to the British Council recording some classes of your child and give permission to the British Council to use any material in the recordings for internal purposes, such as improving teaching methods. Recordings will not be shared with external audiences or on any social networks.

REFUND POLICY 

1. General Refund Policy

1.1. Refunds are possible before the start of the course, in accordance with Azerbaijani law.
1.2. If you withdraw before the course starts, an administrative charge of 5% of the paid amount will be applied.
1.3. After the course has started, refunds are only available in the following exceptional cases, which must be supported by official documentation:
1.3.1. Relocation to a foreign country.
1.3.2. A serious medical condition requiring more than 3 weeks of treatment.
1.3.3. The death of a close relative or family member.
1.3.4. A change in your school timetable that clashes with the British Council course schedule.
1.4. Outside of these exceptions, the British Council considers the paid amount as (i) a fee for services already provided and/or (ii) compensation for incurred expenses and lost profit. Therefore, no refund will be issued.
1.5. The British Council reserves the right to refuse any refund request. All decisions made by the British Council are final and definitive.

2. Refund Calculations for Exceptional Cases

2.1. If your refund is approved under the conditions listed in section 1.3, a 5% administrative charge will be applied to the paid amount. Additionally, the cost of any delivered classes (whether attended or not) will be deducted on a pro rata basis.
2.2. The remaining refundable amount can be transferred to another customer for the purchase of a new course within the next 3 months. If this credit is not used within the 3-month period, no further refund will be provided.

3. Special Circumstances

3.1. The British Council reserves the right to close any group with fewer than five students. If we are unable to transfer you to a suitable course, we will refund the full amount paid, without interest or other compensation.
3.2. If you pay an advance but do not complete your registration by paying the fee difference, your registration will be cancelled, and the advance will not be refunded.

4. Refund Process

4.1. To request a refund, complete the “Request Refund Form” and send it to enquiries@britishcouncil.az.
4.2. The date of your email will be considered the official date of your refund request.
4.3. We may contact you if we need more information or clarification regarding your request.
4.4. Approved refunds will be processed in cash at the British Council office. We’ll inform you once your refund is ready for collection. 
4.5. The British Council is not responsible for any delays in financial processes outside of our control.
